The Center for Effective Philanthropy (CEP) seeks an exceptionally organized, detail-oriented, and enthusiastic Executive Assistant. Reporting to the President, the Executive Assistant is responsible for a variety of high-level administrative and operational functions. The Executive Assistant serves as the primary point of contact for internal and external constituencies on matters pertaining to the Office of the Prideesnt. The Executive Assistant also serves as a liaison to the board of directors, organizes and coordinates executive outreach and external relations efforts, and assists with special projects.

This position is available in our Cambridge, MA office.
- Completing a broad variety of administrative tasks for the President including: scheduling an extremely active calendar of appointments; completing expense reports; managing contact information; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings
- Serving as the administrative liaison to CEP’s Board of Directors, which includes scheduling meetings, developing materials and coordinating logistics as well as ensuring compliance in board matters, including ensuring all necessary forms, information, and materials are up to date
- Planning and ensuring the CEO’s schedule is followed and respected
- Scheduling meetings, speaking engagements, and travel, with a wide range of external audiences
- Providing a bridge for smooth communication between the President’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with staff
- Working closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
- Helping to build relationships crucial to the success of the organization and working on a variety of special projects for the President
- Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures
- Scheduling and coordination of internal meetings, including managing agendas and notes
Qualifications and Requirements
- An undergraduate degree, or equivalent, is required
- 5+ years of full-time work experience required; full-time directly relevant administrative support experience required.
- Strong computer/technical skills; demonstrated proficiency in Excel and Outlook
- Familiarity with CRM (such as Salesforce) and expense systems such as Concur a plus
The ideal candidate will possess:
- Exceptional organizational skills with strong attention to detail
- Ability to respond to a high volume of phone and email inquiries, while maintaining excellent customer service, 100% accuracy, and prompt response time
- Strong communication and interpersonal skills; ability to deal effectively with all levels of the organization as well as external client contacts
- Excellent writing, spelling, grammar, and proofreading skills
- Ability to be flexible and adaptable in a fast-paced environment
- Demonstrated ability to handle multiple tasks simultaneously, prioritize accordingly, juggle changing deadlines, and understand the nuances associated with supporting a president.
- Ability to work well under pressure and exhibit excellent judgement; tolerance of ambiguity
- Ability to effectively maintain confidential information
- Self-managing; ability to work well independently with minimal oversight and as part of a team

- The base salary for this role is $75,000. In addition, this role is eligible for performance-based incentive compensation
